Who we are

LiteRMIS is made and licensed by Zin Solutions LLC (“Zin Solutions”, “we”). This notice covers the litermis.com website and the LiteRMIS service, whatever name the service appears under. You can reach us at [email protected].

This website

litermis.com runs no analytics or advertising trackers. Its fonts, images and scripts are served from this site, not from third parties.

The site is hosted on Cloudflare, which keeps standard access logs to operate and secure it. A log entry holds your IP address, the time, the page requested and your browser’s description of itself. If you email us, we use what you send only to reply and to follow up on your request.

The LiteRMIS service

An organization that licenses LiteRMIS decides what data goes into its installation and why. For that data the organization is in charge (the “controller”), and we process it only on its instructions and under its agreement with us. An organization can also run LiteRMIS on its own servers; then it, not Zin Solutions, holds the data.

To run and secure the service, each installation records about the people who use it:

• your name, email address and role;
• when you sign in, from which IP address and with which browser;
• an audit trail of the records you create and change, and of security events such as sign-ins and exports.

An installation can also record sessions, meaning the pages you open and the actions you take, to diagnose problems. This is off unless it is turned on for that installation. When it is on, every piece of text on screen and everything you type are masked by default, the content of network requests is never recorded, and recordings carry an internal user ID rather than your name or email address. Recordings are kept on servers we run, not sent to a third party.

AI features

When an organization turns on AI features, what you ask the assistant, and the records it needs to answer, are sent to the AI provider chosen for that installation. An installation that uses a self-hosted model sends nothing to an AI provider. AI output is advisory: check it before you rely on it.

Who else handles data

The companies that process personal data for us, such as our hosting and email providers, are on the subprocessor list. We do not sell personal data, and we do not use the data in an organization’s installation for advertising.

Cookies

litermis.com sets no cookies, and no one else sets cookies through it, so there is nothing to accept or decline. The LiteRMIS service uses only the cookies it needs to work: to sign you in, keep you signed in, protect its forms, and open a report someone shared with you. It sets no advertising or analytics cookies.

How long data is kept

Data in an installation is kept for as long as the organization’s agreement and settings say. When that agreement ends, what happens to the data is set by the agreement.

Your requests

For data in an organization’s installation, ask that organization first; we will help it answer. For anything else, or if you cannot reach the organization, write to [email protected]. You can ask what we hold about you, and ask us to correct or delete it.

Changes

We will update this notice before the website or the service starts collecting anything new. The version and date at the top show which notice applies.
